Your starting point · scope and responsibilities

START WITH THE BUSINESS NEED

Make the technology work for your people.

Email and file sharing are easy to start and harder to govern as a business grows. Unclear ownership, open sharing, missed departures, and overlapping licenses create friction. A managed Workspace environment connects daily collaboration with clear responsibility for access and information.

A dependable workday

Organize mail, calendars, meetings, and shared information around real employee workflows and a clear support process.

Business information with an owner

Align shared drives, groups, access, and offboarding with accountable teams so information remains available when people change roles.

A plan that fits your organization

Choose editions and controls based on the work you do, then review usage and requirements as the business changes.

WHAT WE CAN HELP WITH

Practical capabilities. Defined responsibilities.

01

Tenant, account, and license administration

Manage approved users, groups, organizational units, administrative roles, subscriptions, and license changes. Keep domain ownership, recovery contacts, billing, and privileged access documented.

02

Gmail, Calendar, Meet, and collaboration

Coordinate email configuration, shared calendars, meeting settings, and employee support. Review mail routing and authentication changes through an approved plan, and establish ownership for Google Drive and shared drives.

03

Identity, sign-in, and device access

Plan two-step verification, recovery methods, supported single sign-on, and endpoint policies. Coordinate Google identity or integrations with Okta, Entra ID, or JumpCloud where suitable; confirm edition and platform requirements.

04

Sharing, retention, and recovery

Review external sharing and information ownership with business teams. Where licensed, configure Google Vault retention or holds to approved requirements, and evaluate independent backup separately. Test the recovery actions your organization expects to rely on.

05

Migration and employee lifecycle

Plan a move into or out of Google Workspace with account mapping, mail and file inventories, a representative pilot, and a controlled cutover. Coordinate onboarding, role changes, account suspension, and approved information transfer.

06

Ongoing management and adoption

Support agreed services, review administrative changes and available security signals, resolve recurring collaboration issues, and revisit licensing. Provide practical guidance for employees and named owners for decisions.

FROM DISCOVERY TO DELIVERY

A considered path forward.

Understand how your teams work

Review accounts, domains, current subscriptions, collaboration patterns, file ownership, and support issues.

Agree the operating model

Define roles, access, sharing, support scope, recovery requirements, and the Google Workspace edition that fits.

Pilot and introduce changes

Test representative users and applications, communicate the impact, and roll out approved settings or migration waves.

Manage and improve

Reconcile employee changes, licenses, sharing, support trends, and the next business priorities.

Know what success means.

Before work begins, agree on the scope, responsible owners, acceptance criteria, and handover requirements. We’ll discuss the evidence and documentation relevant to your project during discovery.

A FEW USEFUL ANSWERS

Before we get started.

Do you manage Google Workspace as well as Microsoft 365?

Yes. Both can receive a defined service covering administration, licenses, identity, employee changes, collaboration support, and recovery planning. The exact controls differ by platform and edition; we build the operating model around the environment your organization uses.

Can we migrate from Microsoft 365 or another email provider?

A migration begins with supported data types, account and domain ownership, shared content, integrations, and business timing. We pilot representative users, explain anything that will not transfer directly, and agree a cutover and validation plan before moving the wider organization.

Is Google Vault a replacement for backup?

Vault supports retention, holds, and discovery for covered data under applicable licenses. It should not be assumed to provide every operational recovery you need. We assess account deletion, file restoration, retention, and independent backup requirements separately, then validate the chosen recovery path.

Can Google Workspace and Microsoft 365 coexist?

Yes, with a deliberate design for domains, mail routing, calendars, identity, file ownership, and support. We identify which platform owns each function and test the cross-platform workflows your teams actually use. Coexistence should not create unclear access or duplicated information ownership.

What happens to email and files when an employee leaves?

The process separates access suspension from data deletion. An authorized owner approves email handling, file ownership transfer, retention, and license changes. Required holds and supported transfer options are checked before accounts or information are removed.
